Faria Generative Artificial Intelligence (AI): Acceptable Usage Policy

This policy outlines how generative artificial intelligence (GenAI) may be used responsibly across Faria. It establishes principles and guidelines for employees, contractors, partners and customers when interacting with AI-enabled systems or services.

Faria is committed to maintaining a safe and secure environment for employees, contractors, partners and customers. This policy ensures GenAI remains a valuable capability while maintaining compliance with Faria’s Information Security standards.

Acceptable Use of Generative AI

  • GenAI tools must only be used for legitimate business purposes.
  • All AI-generated content must remain professional, respectful, and free from discriminatory or abusive language.
  • Testing and evaluation of AI systems may include controlled scenarios by authorised personnel.
  • Employees must not share confidential or sensitive information with GenAI tools without prior approval from the AI Ethics Team.
  • Protected information includes passwords, certificates, tokens, secrets, asset names, or personally identifiable information (PII).
  • Login credentials must be secured and never shared.
  • All AI use must comply with applicable laws, privacy regulations, and Faria’s Information Security Policy.
AI Ethics Team
An internal AI Ethics Team reviews questions or concerns related to GenAI use and ensures responsible application of AI technologies across the organisation.

Employee Responsibilities

  • Employees must ensure that AI tools are used responsibly and in line with this policy.
  • Human oversight must always be present when configuring, using, or interpreting AI outputs.
  • Employees must verify and review AI generated results before applying them.
  • Confidential information must always be protected when interacting with AI tools.
  • Managers must ensure their teams understand and follow this policy.
  • Policy violations must be reported to the appropriate SVP/VP and Legal & Compliance Officer.

Leadership and Governance

  • Faria’s Leadership Team maintains an approved list of authorised GenAI systems.
  • The Legal & Compliance Officer ensures AI usage aligns with relevant regulations and privacy laws.
  • Employees may use AI to assist with public content creation when guidelines are followed.
  • AI usage should be acknowledged when used in public or customer-facing communications.

Faria’s Responsibility to Customers

  • AI features within Faria products are designed to support education while preventing discriminatory or harmful behaviour.
  • AI-generated outputs should always be reviewed and verified by humans.
  • Faria strives to ensure AI outputs are appropriate for educational use.
  • Customers will be informed when AI-generated content is used.
  • AI capabilities will remain optional and require customer opt-in.

Prohibited Uses of AI

  • Recreating or impersonating individuals without explicit consent
  • Creating illegal, defamatory, discriminatory, or offensive content
  • Harassing, bullying, or intimidating employees or external parties
  • Sharing confidential information with external AI services
  • Attempting to gain access to restricted systems or data
  • Violating privacy, intellectual property, or data protection laws

Faria will not use Google Workspace APIs to develop, improve, or train generalised AI or machine learning models.

Policy Compliance and Complaints

Faria’s People Operations Team handles complaints related to harassment, discrimination, or bias involving employees or contractors. Investigations follow the Anti-Harassment Policy and Complaint Procedure.

Concerns related to partners or customers are escalated to the relevant VP and the Legal & Compliance Officer.

Policy Review
This policy is reviewed annually. Faria may update or modify the policy at any time as AI technologies and regulatory environments evolve.
